How to handle after-hours calls in NZ (2027)

Five options, what each costs, and what to tell callers when you’re closed.

The short answerDecide what counts as urgent, then choose how calls get answered when you’re closed: voicemail, forwarding to your mobile, a roster, an answering service or an AI receptionist. Whatever you choose, tell callers what happens next and when you’ll call back.

Start with what’s urgent

Write down the two or three kinds of call that can’t wait until morning, such as a burst pipe, a power fault or a booking for tomorrow. Everything else can be a message with a clear call-back time.

Five options

OptionGood forWatch out for
VoicemailLow call volumesMany callers hang up rather than leave a message
Forward to your mobileOwner-operatorsYou never really clock off
A team rosterBusinesses with staff on callCall-out pay and fairness
Answering serviceMessages taken by a personPer-minute or per-call costs; they rarely know your business well
AI receptionistAnswering, booking and taking details at any hourIt should say it’s an AI and only use facts you approve

What to say to callers

Keep the message short: who they’ve reached, that you’re closed, what to do if it’s an emergency, and when you’ll call back. For example: “Kia ora, you’ve reached Harbour Plumbing. We’re closed now. For a burst pipe, press 1. Otherwise leave your name and number and we’ll call you before 9 tomorrow.”

Using an AI receptionist after hours

Ora answers when you can’t, says it’s an AI, answers from your approved facts, books into free times in Google Calendar and sends you a lead, a task and a transcript for every call. It’s NZ$149 a month plus GST for 100 call minutes, and free to set up and practise. Compare it with an answering service and voicemail.

Your rights as an employer

If staff are on call, check their employment agreements cover it. Under the Employment Relations Act 2000, an on-call (availability) provision needs agreed guaranteed hours, a genuine reason, and reasonable compensation for being available. Community Law explains the rules.
